Bulk partially refund Shopify Orders for specific amount

Using the Matrixify app you can bulk partially refund Shopify Orders for a specific amount without refunding the Order Line Items.
In this tutorial, we will look into how to quickly create a spreadsheet file with required data for partial Order Refunds and Import it into your Shopify store for bulk refunds.

Steps in short

1. Create a spreadsheet file for Shopify Orders you need to partially refund:
   • create a blank spreadsheet with a “Name” column containing Order names.
   • export Orders with the “Name” column using the Matrixify app.
2. Add other required columns for bulk partial refund – Command, Line: Type, Refund: ID, Transaction: Kind, and Transaction: Amount.
3. Save the spreadsheet file and Import it into your store with the Matrixify app.

1. Create a spreadsheet with Orders to partially refund

In the first step, we need to create a spreadsheet with only Orders that you need to partially refund for a specific amount.
This can be done in two ways – by creating a new spreadsheet file only listing the Order names in the “Name” column or by exporting only those Orders you wish to refund.
Let’s look into both options for creating such a file.

Warning!

Always test with just one Order first to make sure you have it all set up correctly.
Only then, once this has been confirmed, are you ready to import the Order refunds into Shopify.

A: Create a new spreadsheet file with refundable Orders

The first option is as straightforward as it can be.
Create a new blank spreadsheet file with a tab called “Orders”. In your spreadsheet add only the “Name” column.

In the “Name” column add the Order names which you need to refund, for example, #AZ-9364 for the first Order, #AZ-9234 for the next Order, and so on.

B: Export Orders to you need to partially refund

With the Matrixify app, you can also create a spreadsheet with only the required Orders using the Export functionality.

Open a New Export in the Matrixify app and select to export the “Orders” sheet.
For the “Orders” sheet, you only need to select to export the “Name” column, which you can find under the “Basic Columns” column group.

The Matrixify app Export feature allows you to apply various filters to export only the Orders you need to refund, for example, by exporting only the Orders created after a specific date.

Click on the “Filters” button to see all of the Filters that can be applied and add the ones you need.

Once the Export has been set up, press the “Export” button to start the export and download file once finished.

Once you have the file, it should only have the Name column with a list of the Order names.
Selecting some specific additional columns to export or applying filters might result in multiple rows exported for each Order. In this case, make sure to edit your file to only have one row per Order.

2. Add other required columns for the bulk partial refund

Now that you have a file with a list of your Orders, we can add other columns in the spreadsheet file that will be needed to bulk partially Refund Orders for specific amounts.

Add the following columns with details as below:

• Command – with value UPDATE in all rows. The Command column will tell the app that we need to update Orders.
• Line: Type – with value Transaction in all rows. The column will tell the app that we are adding a Transaction to the Order.
• Refund: ID – with value 1 in all rows. Needed for the app to process it as a Refund.
• Transaction: Kind – with value refund in all rows. To tell that the Transaction which we are adding is a Refund Transaction.
• Transaction: Amount – with the amount you wish to refund. Can be set to different values for different Orders, if needed.

After adding the columns, your file should look like this:

3. Import your file to bulk partially refund Shopify Orders

Once your file has been set up, save the file on your computer and head into the Matrixify app in your Shopify store.
On the Matrixify app Home page, in the Import section upload your file to create a new Import job.

Once uploaded, Matrixify will automatically analyze the file. Review the details to ensure the sheet is correctly detected as “Orders” and that the item count looks correct, then simply start the import by pressing the “Import” button.
